I am part of an organization that has group access to the CPS Full Access. How can I link to this from within MAPflow?

Users are able to retrieve a security token that can be stored in MAPflow that will log them in using their organization credentials. To find the security token:

  1. When logged in to CPS, click on the username in the top right corner (displays 'Welcome User'). From there, select “Subscription Information” in the dropdown menu.
  2. Click on the security token icon in the bottom right corner. The security token is a picture of a key.
  3. Click on the “Copy to clipboard” icon (or select and copy the entire token). The token is a string of letters and numbers.
  4. Go to MAPflow and select your Profile (top right where it says your name). Add ‘Integrations’ and select ‘CPS’. When it asks ‘How would you like to connect to CPS?’, select ‘CPS token’ and paste the token.

If your organization’s account administrator changes the credentials on the account it will invalidate any of the current tokens and users will have to obtain a new one.

What is MAPflow?

MAPflow is a dynamic, clinical decision-making support tool that facilitates minor ailment assessment and prescribing and assists with the implementation of the service in practice while optimizing patient outcomes.

Dr. Nardine Nakhla led the development of MAPflow’s assessment algorithms alongside the MAPflow team. In addition, MAPflow employed numerous subject matter experts and reviewers to ensure accuracy of the algorithms.

MAPflow is a cloud-based system that can be run on a desktop, laptop or iPad, freeing up a terminal. You do not need to download anything to use MAPflow.

I want to ‘play’ around on MAPflow in order to be prepared for a real patient interaction. How can I do this?

Get started with MAPflow by searching for the DEMO PATIENT under the patient tab. Use this patient to create assessments and get accustomed to the platform. Any assessments created for this patient will not contribute to the key performance indicators listed on the dashboard. Do not create a different patient for testing the platform.

How long will it take to complete an initial minor ailment assessment on MAPflow?

Each minor ailment takes you through a series of questions following the Pharmacists’ Patient Care Process (PPCP). While there is variability in the number of questions for each ailment, an assessment in MAPflow Standard mode should take between 6-10 minutes once you are familiar with the structure and content. The average time for MAPflow users in MAPflow Standard mode for a UTI assessment is 8 min and this includes fully compliant documentation with follow-up scheduled. An assessment in MAPflow PRO mode will take less than 6 minutes.

Does MAPflow provide automatic documentation from the minor ailment assessment?

Yes. If a prescription (for a Schedule I, II, III, or unscheduled product) is indicated, it is automatically generated for printing and/or saving (.pdf) at the end of the consultation. Documentation detailing results of the assessment with rationale for prescribing is automatically generated for use by the pharmacy and to notify the primary care provider(s). Also available is a report for the patient outlining the treatment plan, counselling points, the monitoring plan and timing and type of follow-up.

I need to change the prescribed/recommended products but I have finished the initial assessment. Can I change it?

On the Dashboard in the Follow-up list, find the patient. If you have not started follow-up, hovering over the edit button will say Edit Assessment. Click Edit Assessment. You are taken back to the beginning on the PLAN phase. You cannot change any information in the COLLECT or ASSESS phases. You can navigate through the assessment and change the answers by using the Previous and Next buttons or by clicking on the COLLECT - ASSESS - PLAN - IMPLEMENT - FOLLOW-UP in the left side bar. New documentation will be created. Once you have started FOLLOW-UP, you cannot change the initial assessment.

Can another member of the pharmacy team help a pharmacist with the initial assessment or follow-up appointment in MAPflow?

It is the pharmacist’s registration number that is tied to the initial assessment, follow-up appointment and any documentation that is generated (i.e., the prescription, report for notification). That pharmacist may choose to delegate certain acts (e.g., collecting patient information, scheduling follow-up) to a pharmacy technician or assistant. In addition, pharmacy students and interns may conduct the initial assessment and/or follow-up appointment when working under the direct supervision of that pharmacist.

How does MAPflow help me follow up with patients?

On the MAPflow dashboard, you will find a list of patients awaiting follow-up displayed along with info on the timing until follow up, specific ailment, and individual assigned to this task. You can sort patients by when their scheduled follow-up appointment is due.

How long will it take me to complete a follow-up appointment?

There are only a few questions to ask at the follow-up appointment, mostly related to safety and efficacy of the prescribed therapies. The entire consultation should only take you a few minutes to complete. Automatic documentation is created, and next steps outlined.

How do I track assessment metrics in my pharmacy?

The MAPflow dashboard contains a snapshot of important metrics for you to evaluate your pharmacy’s Key Performance Indicators (KPIs).

Does MAPflow integrate with any pharmacy management systems (PMS)?

We are working with PMS providers to explore integration. We have announced our collaboration with MedMe Health and are integrated with MedEssist and BoxLabs thus far. We are happy to integrate with any other platforms! Please let your PMS provider know what you want.

Why are two prescriptions generated sometimes?

Authorizing therapy for prescription agents AND adjunctive or alternative agents (nonprescription, natural health products, etc) will result in two or more prescriptions. The top one is specific to any drugs that fall under Schedule 4 of the regulations (so can be billed to insurance) and are billed using the PIN_Rx codes. The second prescription contains all other agents recommended; these cannot be billed to drug plans, and are not eligible for the PIN_Rx codes.

Can I delete an assessment?

Assessments can be deleted. There are two instances where they cannot be deleted: 1) if follow-up is complete and 2) if early exit from the assessment (e.g. referral, OTC consult) was triggered and confirmed. Pharmacy administrators may delete any eligible assessment. Non-administrators may only delete their own eligible assessments.

How do I delete all of the DEMO assessments?

To delete all DEMO PATIENT assessments, search for DEMO in the patients section. This will pull up all DEMO PATIENT assessments. Click on Delete Demo Assessments.

What is MAPflow’s pricing model?

We offer annual subscriptions that begin the day you purchase. Subscriptions are per pharmacist and the pharmacist can use their subscription in any pharmacy they are invited to join. Subscriptions renew automatically and you can cancel your renewal at any time during your annual subscription.

How do I register a pharmacy on MAPflow?

Once you register in MAPflow, you can activate a pharmacy using the Create New Pharmacy button. Ensure that you are using the right accreditation number for the Pharmacy. If it is taken, it means that the Pharmacy is already active. If this happens, contact the Pharmacy and have the MAPflow Administrator invite you to the Pharmacy.

I’m a MAPflow Administrator. How do I add and pay for the individual pharmacists’ MAPflow subscriptions from my pharmacy?

Your pharmacists should pay on their own subscription and then submit their receipt to you for reimbursement.

Can I share my MAPflow subscription with other pharmacists at my pharmacy?

No, sharing your MAPflow subscription is not permitted, as each subscription is linked to the user’s pharmacy license. MAPflow subscription is for individual pharmacist use and is valid for one year. Your cooperation in adhering to these guidelines is crucial for maintaining the security of patient information and ensuring uninterrupted access to MAPflow’s valuable tools and resources.

I own two or more pharmacies. Can I be the Pharmacy administrator for both? How do I set this up?

Using your one MAPflow subscription, you can be the MAPflow administrator for multiple pharmacies. Register the first pharmacy once you sign up to use MAPflow. Once on the pharmacy's dashboard, go to the My Pharmacy tab on the left side. You will only see this tab if you are an administrator. Go to Settings and Create New Pharmacy. You will now be the admin of both pharmacies and can add and remove pharmacists.

My pharmacy does not have a subscription but I do. How do I use my subscription?

Any pharmacist can be the MAPflow Administrator and set up a pharmacy. It is recommended to discuss who will be admin for a pharmacy before registering for MAPflow.

I’m an OPA member. How do I access my discount?

Go to our PRICING page and click on the OPA member discount. It will take you to the OPA site to pay. After you pay, you will receive a token from the MAPflow team within 48 h to register and get access.

How do I get a refund for my MAPflow subscription?

After you use the system for the first time, there is no refund for a MAPflow subscription. This means that once you create an assessment with a New Patient, you have used the service.

What email address should I sign up with?

Pharmacists should use their own email addresses when registering for MAPflow and not the pharmacy’s email address as this is a personal subscription.

MAPflow contains all minor ailments within scope in Ontario.

Is Paxlovid™ a module in MAPflow?

Yes! The COVID-19 module, which allows pharmacists to assess for the condition and prescribe Paxlovid™ if appropriate (based on Ontario guidance) is available on MAPflow and is included in the annual subscription price.

How do I know that the information for the assessment algorithms is up-to-date?

When regulations change, the algorithms will be updated immediately. When clinical practice guidelines and standards change, the algorithms will be updated within 6 months. In the absence of regulatory or clinical guideline changes, the assessment algorithms will be reviewed and updated annually by content experts, spearheaded by Dr. Nardine Nakhla.

There are highlights when I check some of the answer options. What are these?

When hovering over a box for an answer option that will lead to medical referral, it will be highlighted in red. This is to ensure you know why, if you click next, a referral will be prompted.

Does the MAPflow prescribing information align with Schedule 4 of the regulations in Ontario?

Yes, you can be certain that the prescription agents found within MAPflow algorithms will be within scope for the given ailments (listed in Schedule 4 of the regulations) and have taken into account any agents available in Canada only.

How can I get more information on each minor ailment on the MAPflow platform?

Throughout each algorithm, there are tool tips that provide you with additional information to facilitate just-in-time learning as well as definitions of terms. For CPS Full Access subscribers, a link to the relevant chapter in the CPS will be displayed whenever an assessment is being conducted.

I’m a the MAPflow administrator for my pharmacy, can I control who has access to my pharmacy-level data?

The MAPflow Administrator is responsible for adding and removing pharmacists. As soon as you remove a pharmacist, that pharmacist will no longer have access to the pharmacy in MAPflow. However, all assessments performed by that pharmacist are still available in the pharmacy.

I am a pharmacist who is using my subscription in multiple pharmacies. How do I switch between them?

If you are a pharmacist who has been invited to two or more pharmacies, you can switch between them where the pharmacy name is displayed (top of dashboard).

I am automatically logged out of MAPflow after a certain amount of time?

If you are inactive for 30 minutes on MAPflow, you will automatically be logged off. Further, if you have been active for 3 hours on MAPflow, you will be asked to log back in; you will return to where you were after logging back in.

How is patient informed consent documented?

It is a legal requirement for each patient to provide informed consent to the in-person or virtual minor ailment service. Patient consent to minor ailment assessment is documented at the beginning of each assessment algorithm through a check box.
Patients must also give verbal consent to MAPflow’s privacy policy. Each pharmacist should print out a paper copy of the Privacy Policy as well as the patient-facing one page information sheet of the privacy policy, found at https://mapflow.ca/privacy. Display the information sheet where the patients can see it. If the patient would like to read the full privacy policy, they can use the QR code on the information sheet or the pharmacist can provide a paper copy for them to read. For a virtual visit, the pharmacist can provide the url to the privacy policy (https://mapflow.ca/privacy). Patient consent to MAPflow’s Privacy Policy is documented at the beginning of each assessment algorithm through a check box.

Will my data or patient data be reported to the College?

The privacy and security of all identifiable data about you and your patients is our top priority. No third party will receive any identifiable information about you or your patients. This includes the College.

Can Ontario pharmacists provide minor ailment assessment services to patients who do not meet the eligibility criteria (e.g., patient without an Ontario health card) in the Ministry's Executive Officer (EO) Notice on funding for minor ailment services?

The authority for pharmacists to provide minor ailment services and funding of minor ailment services are two separate components of this new scope of practice. The patient eligibility criteria outlined in the EO Notice serves to outline the criteria that must be met for a pharmacy to receive payment from the Ontario government for providing a minor ailment service. As with other health care services not covered by a publicly funded program, pharmacists may charge the patient fees for uninsured professional pharmacy services.
